Outlook Add-In — Emails Logged to the Wrong Business (Blocked Domain Setup)

Q: Emails saved via the Outlook Add-In are being logged under my firm's own entity instead of the client's entity. Why?
A: This happens when your firm's email domain is not listed as a blocked/ignored domain in SatuitCRM. The system links email activity to any contact it finds matching an email address in the message — including your internal colleagues. Adding your own domain to the "Ignored Email Addresses" list prevents this.

Q: How do I prevent internal firm emails from being logged to client records?
A: Go to System Admin > Email Add-In Rules and add your firm's email domain (e.g., @yourfirm.com) to the blocked domains list. More information: https://satuittechnologies.zendesk.com/hc/en-us/articles/360043874214-Email-Add-In-Rules-System-Admin. After this change, only emails involving external contacts will be matched to client records.

Q: An email was already logged to the wrong business. Can I move it?
A: Yes. Open the activity record, and use the Move function to reassign it to the correct business or contact. This does not delete the activity — it simply re-links it.

Q: An email appears under multiple businesses — is that a bug?
A: Not necessarily. SatuitCRM displays an email activity under all businesses where a recipient contact is linked. For example, if you email a contact who is linked to two businesses, the activity will show under both. If you prefer it under only one, use the Move function to reassign it to your preferred record.
